Receptionist & Administrative Assistant

Max Construction Company is looking for a responsible, trustworthy, hard-working and energetic Receptionist & Administrative Assistant to join our growing, fast-paced team.

Primary functions will be front desk receptionist, answering multi-line phones, typing, faxing, copying, scanning, filing, shipping, and managing and purchasing office supplies.

This position also provides administrative support to the accounting department and staff.

Candidate must be very proficient in Microsoft Office (Outlook, Word, and Excel). Organizational skills, time management, and good communication are imperative. We are looking for a hard worker and a fast learner with a positive attitude to join our team!

Responsibilities:

  • Greet and welcome visitors in a professional and friendly manner.
  • Answer and direct phone calls, take messages, and provide information as needed.
  • Manage the reception area, ensuring it is clean and organized.
  • Prepare documents via Microsoft Word mail merge, distribute for signatures, track and follow up as needed.
  • Assist the accounting department as needed.
  • File and maintain documents, both physical and electronic. Create new job and general files, filing documents, keeping the file room organized, and boxing up files at year-end.
  • Provides all administrative support, including but not limited to copying, faxing, word processing, spreadsheets, sorting, filing and record keeping.
  • Prepare UPS/USPS/FedEx packages for staff.
  • Receive, open, sort, and distribute mail daily.
  • Maintain and order office supplies while keeping mail room, supply room, and kitchen stocked and organized.
  • Operates and maintains office machines, such as photocopiers and scanners, facsimile machines, voice mail systems and personal computers.

Qualifications:

  • Previous experience as a receptionist and/or administrative assistant required.
  • Proficient in using phone systems and office equipment.
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively.
  • Strong proficiency in using Microsoft Office (Outlook, Word, Excel).
  • Experience with Mail Merge and DocuSign preferred.
  • Excellent phone etiquette and communication skills.
  • Ability to handle confidential information with discretion.
  • Proactive and detail-oriented approach to work.
  • Ability to work independently as well as part of a team.
